Rental Agreement

This Rental Agreement (“Agreement”) is made and entered into by and between NUMBER NINE (“VRI”), and the Undersigned Guest (“Guest”) for the rental of the accommodation detailed in the reservation. The terms and conditions outlined herein are legally binding upon electronic endorsement of this Agreement, either by electronic signature or by checking the “I have read and accept the cancellation policy and the rental agreement” box during the online checkout process.

1. RENTER REQUIREMENTS
For legal and accounting purposes, the individual making the reservation must be the credit or debit cardholder and will be considered the “Guest.” All other persons associated with the reservation will be considered the Guest’s invitees. Communication concerning the reservation, including cancellation and damage policies, will be conducted exclusively with the Guest.

2. AGE REQUIREMENT
VRI will not rent to individuals under 18 years of age, and someone 18 years of age or older must be present for the duration of the reservation. Reservations made under false pretences will result in eviction and forfeiture of any payments made.

3. PHOTO IDENTIFICATION
Guests are required to provide a valid photo identification (driver’s licence, passport, or other government-issued ID) prior to receiving check-in information. VRI reserves the right to withhold check-in details until valid ID is received. Photo identification is collected solely for the purpose of verifying the Guest’s identity and will be retained in accordance with VRI’s Privacy Policy and applicable data protection legislation (see Section 25: Data Protection).

4. PAYMENT TERMS
When reserving a stay more than 30 days prior to arrival, an initial deposit of 50% of the total reservation cost is due at the time of booking. The Guest authorises VRI to securely store their payment method on file for scheduled payments and any applicable damage charges that occur during the stay. The remaining balance will be automatically charged to the card on file 30 days prior to arrival.
When reserving a stay 30 days or less prior to arrival, 100% of the reservation cost is due at the time of booking.

Accepted forms of payment include MasterCard, Visa, Apple Pay, Google Pay, and Revolut Pay. VRI does not accept cash, cheques, or money orders. Failure to pay the balance by the applicable deadline will authorise VRI to charge the card on file for the remaining balance. If VRI is unable to successfully process payment according to the deadlines above, the Guest’s reservation will be subject to cancellation without refund.
When reserving through third-party reservation websites, alternative payment schedules may apply.

5. ADD-ONS
Early check-in or late check-out can be added to your reservation up to 24 hours prior to your arrival. Both are subject to availability and cannot be added or honoured if a guest departs on the same day as your arrival or arrives on the same day as your departure.
Early Check-in: €35 per hour plus VAT, with a maximum of four (4) hours.
Late Check-out: €35 per hour plus VAT, with a maximum of four (4) hours.

Guests requiring more than four additional hours must book an extra full night at the current dynamic pricing rates. Failure to vacate the property on time may result in charges at the hourly rates mentioned above. If guests do not leave by 14:00 without prior arrangements, they will be charged for an additional full night at the current dynamic pricing rate.

6. DISCOUNT AND COUPON CODES
From time to time, VRI may offer promotional or loyalty-based discount codes. Certain codes are intended exclusively for verified repeat guests who have previously booked and completed a stay directly with VRI. For the purposes of this policy, a “repeat guest” is defined as an individual who has previously reserved and stayed in a property managed by VRI under an executed rental agreement.

All discount code use is subject to verification. Guests who redeem a returning guest discount code without meeting the eligibility criteria will have the discount removed, and the resulting balance will be automatically charged to the credit card on file. The non-refundable payment policy set forth in this Agreement remains in full effect, even if a coupon or discount code is determined to be invalid and removed from the reservation. VRI reserves the right to revoke any coupon or discount at its sole discretion for misuse or ineligibility.

7. CANCELLATION POLICY

  • 60 days or more prior to arrival: All payments made will be refunded in full.
  • 59 to 31 days prior to arrival: The 50% deposit is non-refundable. Guests are not required to pay the remaining balance.
  • 30 days or less prior to arrival: The reservation is fully non-refundable, and the full balance is owed.

Guests are provided the option to purchase travel insurance at the time of booking and are encouraged to seek travel insurance coverage from third-party providers to protect against unforeseen events. VRI does not offer refunds or compensation other than the cancellation terms described above for any reason, including but not limited to: acts of nature, weather conditions, states of emergency, or other unforeseen circumstances.

This policy supersedes any refund or cancellation policies provided through third-party booking websites, including but not limited to VRBO and Booking.com. For Airbnb reservations, all payments and cancellations are managed directly by Airbnb. Because Airbnb holds guest funds, their cancellation and refund policies apply instead of the terms outlined in this Agreement. Please refer to your Airbnb reservation for the applicable policy details.

Nothing in this cancellation policy is intended to limit or exclude the Guest’s statutory rights under Irish or EU consumer protection law.

8. RATES
Once the reservation has been made, the rates associated with the booking will remain the same. However, any additional services or nights added to the booking are subject to VRI’s dynamic pricing system and may be priced differently from the original reservation. Unbooked nights are subject to price changes at any time.

9. THIRD-PARTY TRAVEL INSURANCE
Guests are strongly encouraged to seek third-party travel insurance. Travel insurance can provide protection for the Guest’s reservation funds against unforeseen circumstances that may impact their stay.

VRI is not an insurance provider and does not directly manage travel insurance policies. Any travel insurance options presented through our website or office are serviced by an independent, third-party provider.

Travel insurance is the only method to safeguard Guest reservation funds as VRI does not offer refunds for cancellations, early departures, or interruptions beyond the terms stated in Section 7. By opting for third-party travel insurance, Guests can minimise their financial risk and ensure peace of mind when planning their stay.

10. ARRIVAL AND DEPARTURE

  • Standard Check-In Time: 15:00
  • Standard Check-Out Time: 12:00

Guests may request early check-in or late check-out, subject to additional fees, availability, and approval as set out in Section 5.

11. KEY PROCEDURES
Most VRI properties use a keyless entry system. Guests will be provided with an access code via email or SMS message shortly after the check-in time of 16:00. By signing this Agreement or by checking the acceptance box, the Guest consents to receive electronic communications via email and SMS for the purposes of check-in instructions, reservation updates, and other communications related to the stay.

For properties with traditional keys, key pickup will be at the VRI office. Instructions will be provided via email on the day of check-in.

12. LOCKOUT EMERGENCIES
In the event of a lockout or an issue with an electronic lock system, Guests should immediately contact VRI via phone call for the fastest response. Communication through text message, email, or third-party messaging platforms may result in delayed assistance.

VRI will use commercially reasonable efforts to resolve lockout or lock failure issues within 5 hours of receiving notice. If the lock’s battery dies or the lock malfunctions, VRI will dispatch assistance. It is the Guest’s responsibility to ensure that electronic locks are properly secured and used according to the provided instructions during their stay.

13. SECURITY AND SAFETY
Guests are responsible for locking doors and windows at all times during their stay, especially when leaving the property unattended. VRI is not liable for the loss, damage, or theft of personal property during the Guest’s stay, except where such loss arises from VRI’s negligence. Children must be supervised at all times, and candles are strictly prohibited due to fire hazards.

By signing this Agreement or by checking the acceptance box, the Guest acknowledges the inherent risks associated with the use of the property, including slips, falls, or accidents due to uneven footing or stairs, and agrees to exercise reasonable care. VRI and the property owner are not responsible for injuries or accidents that occur on the premises except to the extent caused by their negligence or breach of duty.

14. MAXIMUM OCCUPANCY
The maximum number of guests allowed to occupy the accommodation is strictly limited to the amount of guests shown on the rental's detail page. This occupancy limit is enforced to ensure safety, comfort, and compliance with fire regulations.

Exceeding the maximum occupancy without prior written approval from VRI is a violation of this Agreement and may result in additional charges, immediate eviction without refund, and liability for any damages or disturbances caused.

Guests must accurately disclose the names and number of additional occupants in this Agreement and inform VRI of any changes before arrival. Unauthorised guests may result in additional charges, eviction, or both. No refunds or adjustments will be made for changes in the number of guests after arrival.

15. EVENTS AND PARTIES
Events, parties, and gatherings of any kind are strictly prohibited on the premises unless express, written approval has been provided by VRI. Any unauthorised event or party will be considered a violation of this Agreement and may result in immediate eviction without refund, as well as additional charges for any damages, disturbances, or cleaning fees incurred.

If excessive noise, illegal activity, or any violation of these policies occurs, VRI reserves the right to evict the Guest and their invitees without refund and impose additional charges. To request permission for an event or gathering, the Guest must contact VRI directly for prior approval. Approval is granted solely at VRI’s discretion and may include additional terms and fees.

16. HOUSEKEEPING
A one-time housekeeping fee is included in the reservation. The accommodation will be cleaned before the Guest’s arrival and after their departure. If there are any housekeeping concerns upon arrival, Guests must notify VRI within four (4) hours after the scheduled check-in time. If notified within this timeframe, a housekeeper will be sent to address concerns as soon as possible and at no additional charge.

After this timeframe has expired, Guests will be responsible for additional cleaning fees if they request housekeeping services. VRI will use commercially reasonable efforts to remedy any housekeeping issues within 24 hours of notice.

Guests are responsible for their own personal laundry and any mid-stay cleaning. The following housekeeping rules apply:

  • Guests do not need to strip the beds; housekeeping will handle this upon departure.
  • Dirty dishes should be placed in the dishwasher and the dishwasher started before checkout.
  • Guests are requested to remove all rubbish from the accommodation and place it in designated waste containers.
  • All food should be removed from the refrigerator and freezer. Do not leave any sugary items as they may attract pests.
  • If excessive waste or mess is left behind, guests will be assessed additional fees up to €200 for extra labour.

17. COMMON AREAS AND SHARED SPACES
VRI operates a boutique hotel property with shared common areas including, but not limited to, entrance areas, hallways, stairwells, and any communal amenities. Guests are expected to use shared spaces with consideration for other guests and in compliance with this Agreement.

VRI is not liable for disturbances, noise, or actions of other guests in common areas. If a Guest experiences a disturbance, they should contact VRI promptly and VRI will use commercially reasonable efforts to address the matter. Guests are responsible for supervising their invitees in all common areas.

18. PROPERTY CONDITION AND REPAIRS
Guests agree to report any issues with the property immediately upon discovery. VRI will use commercially reasonable efforts to address maintenance issues within 48 hours during weekdays or 72 hours on weekends from confirmation of receipt of the Guest’s notice. Where an issue materially affects the Guest’s enjoyment of the accommodation and VRI is unable to resolve it within a reasonable timeframe, VRI will determine appropriate remediation at its sole discretion, which may include partial compensation proportionate to the impact and duration of the disruption.

19. DAMAGE POLICY
As a condition of this Agreement, the Guest agrees that VRI may charge their card for any damages or losses incurred during the rental period caused by the Guest or their invitees. This includes, but is not limited to, damage to the property, excess cleaning requirements, fines, service calls, or any repair or replacement costs. VRI will provide documentation of damages and charges upon request.

Accidental Damage Waiver
A one-time damage waiver fee is included in the reservation. This fee limits VRI’s right to claim for accidental damage to the accommodation up to €500 if charged €49.00 in your reservation. Should damages exceed this amount or fall outside of the waiver coverage, the Guest authorises VRI to charge the Guest’s card for the costs of repairs or replacements. The damage waiver does not cover:

  • Acts of God
  • Gross negligence or intentional acts
  • Wilful destruction of property
  • Normal wear and tear
  • Theft
  • Guest’s personal property
  • Trip cancellation or delay
  • Cleaning fees
  • Property damage caused by motorised vehicles

This damage waiver is not an insurance product. It is a contractual limitation on VRI’s right to recover accidental damage costs from the Guest up to the applicable threshold.

20. PLUMBING RESTRICTIONS
Guests are strictly prohibited from flushing any items other than toilet paper down the toilets. This includes, but is not limited to, items marketed as “flushable” wipes, baby wipes, paper towels, tissues, feminine hygiene products, cotton swabs, and any other non-degradable materials.

The Guest will be held financially responsible for any plumbing repairs, damages, or additional cleaning services required as a result of improper disposal of items. VRI reserves the right to charge the Guest’s card on file for all costs associated with resolving plumbing issues caused by these prohibited actions.

21. PET POLICY
Unless explicitly authorised by VRI in writing, pets are not permitted on the property. Guests who bring unauthorised pets will be charged a €500 fee and are subject to immediate eviction without refund or compensation.

Pet-friendly properties may require an additional €125 pet fee per pet, plus VAT. Guests are fully responsible for any damages or excess cleaning fees caused by the pet, including the cost to pick up any pet waste not removed prior to departure. All dogs must be leashed at all times when outside, in accordance with applicable local authority regulations, and must be supervised by the pet owner at all times.

22. PEST CONTROL
VRI employs preventative pest control measures. The presence of pests (such as insects, ants, or rodents) may occur from time to time. If pests are noticed upon arrival or during the stay, Guests must immediately notify VRI. VRI will determine the best course of action and arrange for appropriate pest control services as necessary.

VRI will use commercially reasonable efforts to resolve pest issues promptly. Compensation, if any, will be determined at VRI’s sole discretion based on the nature, severity, and duration of the issue. Guests are encouraged to take reasonable precautions, such as storing food properly and keeping doors and windows closed, to help prevent pests.

23. QUIET HOURS
Mandatory quiet hours are enforced daily from 22:00 to 08:00 unless otherwise posted. As VRI operates a multi-unit boutique hotel, Guests are expected to be considerate of other guests at all times. Applicable local authority noise regulations also apply.

24. SMOKING POLICY
Smoking is strictly prohibited on the premises of all VRI properties. Oil lamps and incense are not permitted due to the long-lasting odour. Any evidence of smoking, including the smell of tobacco or marijuana, will result in a €500 fine, excess cleaning fee, and replacement cost of any smoke-damaged décor.

25. DATA PROTECTION AND PRIVACY
VRI is committed to protecting Guest personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”) and the Irish Data Protection Acts 1988–2018.

In the course of making and managing a reservation, VRI collects and processes certain personal data including: the Guest’s name, contact details, payment information, photo identification, and communications related to the stay. This data is processed on the basis of contractual necessity (performance of this Agreement), legal obligation (financial and tax record-keeping), and legitimate interest (property security and fraud prevention).

Photo identification provided under Section 3 will be retained for a maximum of 30 days following check-out, after which it will be securely deleted. Payment information is stored and processed by VRI’s third-party payment processors in compliance with PCI-DSS standards.

Guests have the right to access, rectify, erase, restrict the processing of, and port their personal data, and to object to processing, in accordance with GDPR. To exercise any of these rights, Guests may contact VRI at [DATA PROTECTION EMAIL]. 26. UNAVAILABILITY
If the reserved accommodation becomes unavailable prior to check-in due to reasons not already covered in this Agreement, VRI will notify the Guest immediately and offer a comparable alternative accommodation. The Guest may accept the alternative or decline and receive a full refund of all payments made. This refund shall be the Guest’s sole remedy in the event of unavailability, except where the Guest’s statutory rights provide otherwise.

27. PROPERTY SUBSTITUTIONS
While VRI strives to honour all specific room or unit requests, unforeseen circumstances may necessitate substituting a comparable accommodation. In such cases, VRI will notify the Guest immediately and offer the alternative accommodation. If the Guest does not wish to accept the substitution, VRI will offer a full refund of all payments made.

28. RIGHT OF ENTRY
VRI reserves the right to enter the accommodation at reasonable times for purposes of inspection, maintenance, emergency response, or to address suspected violations of this Agreement. VRI will provide reasonable advance notice to the Guest before entry, except in the case of emergency. Notice may be given by phone call, SMS, email, or other messaging service. Reasonable notice does not require Guest approval, only notification of the intention to enter the premises.

29. LOST AND FOUND
VRI is not responsible for lost or misplaced items. Any items found will be returned upon request for a €25 handling fee plus postage.

30. INDEMNIFICATION AND HOLD HARMLESS
While VRI strives to maintain its properties in optimal condition, no guarantees, expressed or implied, are provided regarding the property’s suitability for any particular purpose beyond its use as short-term holiday accommodation. All Guests and their invitees use the property structures, premises, and amenities at their own risk.

VRI makes no guarantees regarding the suitability, compatibility, or performance of utilities, amenities, or materials used in the property’s construction or contents. VRI shall not be held liable for any allergic reactions experienced by the Guest or their invitees, including those triggered by materials or substances present in the property, such as mould, airborne spores, pet allergens, or chemical agents from cleaning products, appliances, linens, carpeting, fixtures, or other items, except where such reactions result from VRI’s negligence.

VRI shall not be liable or responsible for any injury to the Guest or their invitees resulting from intentional or unintentional acts by the Guest or their invitees, nor from the condition, failure, malfunction, or misuse of structures, appliances, furnishings, or other equipment, except to the extent such injury is caused by VRI’s negligence or breach of duty. This includes injuries or damages arising from acts of nature or other naturally occurring events.

The Guest shall be fully responsible for the actions, injuries, behaviour, and any damages caused by their invitees while on the property. VRI and the property owner are not responsible for any injury to the Guest, their invitees, or any loss, theft, or damage to their property or personal items, whether within the accommodation or in any common areas, except where caused by VRI’s negligence.

By signing this Agreement electronically or in writing, or by checking the acceptance box, the Guest and their invitees agree to indemnify and hold harmless VRI from and against any and all claims, demands, losses, liabilities, or expenses of any kind, including legal costs, arising from or connected with the Guest’s use of the property and any actions of their invitees, except to the extent arising from VRI’s own negligence or wilful misconduct.

Nothing in this Agreement shall exclude or limit VRI’s liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited under applicable law.

31. GOVERNING LAW AND JURISDICTION
This Agreement shall be governed by and construed in accordance with the laws of Ireland. Any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Ireland.

In accordance with EU Regulation 524/2013, Guests may also refer disputes to the European Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr. VRI’s contact email for dispute resolution purposes is [email protected].

32. CONSUMER RIGHTS
Nothing in this Agreement is intended to limit or exclude the Guest’s statutory rights under the Consumer Rights Act 2022, the European Communities (Unfair Terms in Consumer Contracts) Regulations 1995, or any other applicable consumer protection legislation. Where any term of this Agreement conflicts with the Guest’s statutory rights, the statutory rights shall prevail.

33. ENTIRE AGREEMENT
This Agreement constitutes the entire agreement between the Guest and NUMBER NINE regarding the Guest’s booking. No other promises, representations, or conditions—whether oral or written—are binding between the parties unless expressly included in this Agreement. This Agreement supersedes all prior oral or written agreements, communications, or understandings.

By electronically signing this Agreement or by checking the “I have read and accept the cancellation policy and the rental agreement” box at checkout, the Guest affirms they have read, understood, and agree to all terms and conditions herein, including the indemnification, data protection, and cancellation clauses.
